Upgrade Instructions

  1. Please take backup of all related databases after completion of the day’s work before proceeding for going for up-gradation of this update.
  2. Please go through the User Guide for Parcel Net (provided separately for Post Offices and Parcel Hubs) before attempting for installation/up-gradation

Sequence for Post Offices

Please upgrade in the order given below without altering the sequence( ePayment has to be upgraded first then only Postman Has to be upgraded)

ePayment

  1. Run eCounter27032014.exl file with script tool.
  2. Run ECounter_POCodes_26022014.exl file with script tool
  3. Run eVPPincodes_26022014.exl file with script tool
  4. Replace existing ePaymentClient.exe with new one.

Point of Sale and Despatch 

  1. Replace the existing PointOfSale.exe with the new PointOfSale.exe in installation path.
  2. Upgrade the Counter database with the exl files available in the folder.
  3. Copy the Cash.Dll to the Point Of Sale Client installation path and register the dll.
  4. Replace the existing Despatch.exe with the new Despatch.exe in PointOfSale Client installation path.

Postman

  1. Replace existing Postman.exe with new one.
  2. Replace existing EMODelivery.dll with new one.
  3. Replace existing EVPDelivery.dll with new one.
  4. Register both EMODelivery.dll and EVPDelivery.dll
  5. Run Postman-1.exl and Postman-2.exl with script tool.(Please ensure ePayment already upgraded)

Treasury

  1. Rename the existing Treasurer.exe and copy the new Treasurer.exe in the same location.
  2. First Run the Treasury_1.exl file and then Treasury_2.exl file with script tool.

RNet Communication

  1. Replace existing RNet Communication exe with the new one.
  2. Then give request for Office Master using the below options
  3. Tools > Get Office Master and then call server 
  4. Tools >Get Hub Master and then call server

BNPL-Parcel (New application)

  1. Run the setup for fresh installation and install the application in the BNPL-Parcel system. 
  2. Replace existing PBC_Project.exe with new one according to the system type (whether 32 -bit or 64-bit)
  3. Run BNPLPARCEL2403014.exl file using Script tool.
  4. Run POCodes24032014.exl file using Script tool.

(Separate document is available for implementing the Bulk Booking Process in both Post offices and Parcel Booking Centres)

  1. Run eMO 7.9.1.exl file using Script tool.
  2. Run NREGAEMO 7.9.1.exl file using Script tool.

Tool for Interest Rate Update - Sanchay Post 01/04/2014

Steps for Update

a)  Close/Exit all screens in Sanchay Post application in all systems.  Make sure that application is not running in any of the system.

b) Double Click on ‘spintratetool.exe’ file. Provide the server name and click on ‘Upgrade Interest Rates’

Note:

The exe ‘spintratetool.exe’ and sp.pbd should be placed in the same folder. This needs to be executed in server machine alone.


The User messages are displayed in the text area. Once the update is completed exit button will be enabled.

d) Click on Exit. The tool will be closed.
e) If the update is not successful, ‘Restore to previous version’ will be enabled.

f) While clicking on ‘Restore to Previous Version’, the tables will be restored to previous interest rates.

g) Log file int_rate_info.txt will be created in the same location where tool is present.

Tool for Reduce the size of signature by PoTools

Reduce the size of signature in Sanchaya Post without rescanning 

Size of the signatures in Sanchaya post should be reduced before migration to Core Banking Solution.  This Tool can get all the live account images if size having more than 25kb. Irfan View Software used to resize and follow the procedure to Reduce the Size without lose of image quality and image resolution.

1. Get Images

1. Download PoT Sign_GetImage.exe from PoTools.
2. Enter Correct SQL Login credentials using SQL INFO.
3. Create Folder in D:\ or E:\ drive. i.e E:\Sign
4. Enter the designation path and Press Get Images to get images having size more than 25kb in SB, RD, MIS,TD and PPF automatically.

2. Resize Image using Irfan View

  • Download and Install  Irfan  view free version from the following link.
  • Goto File > Batch Conversion
  • On Step 4 follow the below settings to convert as better image without lose of quality.

3. Store Images using Sanchay Post

1. Login as Sanchay Post Supervisor > Common > 0218 Signature Scanning.
2. Enter Compressed Image Path.
3. Press verify and Store to Replace the Existing Image.
 

Procedure for interest calculation/posting - Computerised SOs

NOTE

If you intend to transfer interest calculated at the HO for SOs to the respective SOs electronically, then download and execute Int_Seq.exe at both the SO and HO, before calculation of interest at HO. This will enable generation of interest file with sequence number 1 at HO and will enable its subsequent import / posting at SO.  

Step 1

The preparatory procedure for calculation/posting of interest is elaborated in previous page. The same steps should be carried out for the all the SOs under the HO.    

At HO 

Calculate and post interest in the SOSB module for all the SOs. 

When day-end is performed in the HO online module, a message will be displayed intimating the creation of interest files on the day on which interest is calculated for SOs. Click on ‘OK’ and continue with day end.  Files are generated in the C:\HO_to_SO folder in the system in which day-end was performed.  

Files will be generated:

   a) only for SOs in which interest posting was performed on that day

   b) only for SOs and MDGs marked as computerised.  


These files can be sent to the respective SOs for importing the interest and subsequently used for posting the interest calculated.   

At SO

Login as 'Counter' >> select group 'Day Begin/end' >> 'Import files from HO' >> 'SB interest Posting' and select the file to be uploaded. 

To Post the interest login as 'SUPER' >> SB >> 'Annual interest calculation' >> 'Calculate Interest' >> 'Annual Interest Posting'  
   

NOTE

Service charges will be deducted automatically while calculation and posting of interest in SB accounts.
  
Service charges will be deducted in silent accounts if the balance is less than 50 after calculation and posting of interest.  

The report for accounts from which service charges have been deducted can be obtained from DBanalyzer >> Reports or from Sanchay Post-Online Module >> Reports >> SB >> 'SILENT ACCOUNT with service charge deduction'   

IMPORTANT NOTE


Can Interest Calculation be done after 1st of April?

Interest calculation for PPF can be done on any day after completion of transactions on the 31st of March and for other schemes it can be performed on any day after day begin has been performed for the 1st of April. Interest is posted (inserted) in the ledger with transaction date as per rules.

NOTE:

Step 1 


Download the revised DBAnalyzer Software 08/01/2014. Run DBAnalyzer software. Select ‘Database Discrepancies’. 
  

Ensure that previous financial year Interest Entry (2012-2013) is made for all accounts. (‘Ledger entries without previous year interest entry’ option will list the accounts without interest entry).

Login to Data Entry Module as Data Entry Supervisor and insert the interest transaction for the previous financial year (i.e. for 2012-2013) with the transaction date as '01/04/2013’ and transaction type as 'interest'. 

Ensure that account type is available for all accounts. (Account numbers with blank account type’ option) Login as Supervisor. Use 'Common -> Account type Conversion' form. Select the correct account type and save.

Ensure that ledger entries with Cleared Date as ‘01/01/1900’ are not available. (‘Ledger entries with LOT / Cleared Date as 01/01/1900’ option)  

Ensure that account status is updated for all accounts. (Account numbers with blank account status' option) Select 'Database Discrepancies >> SB >> Account numbers with blank account status' option in DBAnalyzer and update the account status.  

Step 2 

Login as ‘Supervisor’ in on-line module.

Check interest rates in initialisation group.

Check the current financial year in the form (Form No.0410) ‘Initialisation >> Financial Year – SB / PPF / NSS’ (Financial Year should be 01/04/2013 – 31/03/2014).  

Step 3 

From the menu,
  
Select ‘Annual Interest Calculation’ form (Form No. 1305 / 1004 / 0904) to calculate interest for    SB / PPF / NSS.

Select 'IBB Report' option to generate IBB Report. 

Select 'Annual Interest Calculation' option to carry out calculation.  

Step 4 

After calculation is finished,
  
Check the error files in SP5\OT folder to view the accounts for which interest was not calculated.

Rectify the errors listed. It is advisable to rectify as many of the errors listed if not all and then re-calculate interest by selecting 'Annual Interest Calculation' option again, before interest posting. The process can be repeated any number of times till no accounts is listed in the error list. 

After rectifying all the errors listed during interest calculation, recalculate interest before selecting the 'Annual Interest Posting' option to carry out interest posting. 

NOTE

Interest calculation should be performed at HO for all SOs (including MDGs) and hence the database discrepancies rectifications mentioned above are to be done for both HO as well as SO accounts.

For SOs, interest calculation should be performed only after receiving and incorporating all the Supplementary Dates’ transactions in SOSB module. 

Ensure that the cleared cheque details received till 31/03/2014 are entered and posted. Also ensure posting of PPF cheques cleared till 31/03/2014 before posting PPF interest.  

Interest if calculated and posted on any later date (after 01/04/2014) will also be appropriately posted in the ledger. 

SCS – SI FOR THE QUARTER ENDING MARCH 2014

Post offices for which 31.03.2014 is holiday

  1. Ensure that 31.03.2014 is available in the Holiday List initialized in Sanchay Post. If not, initialize the same before Day End of 29.03.2014.
  2. Perform Day Begin for 01.04.2014
  3. Download the Patch “SCS_April_SI.exe” from SDC site & run the exe.
  4. SI will be executed on 01.04.2014 as per the new rule in the SB order 05/2014 dated 24.03.2014.
  5. Correctness of SI entries posted may be ensured at your end.

Post offices for which 31.03.2014 is not holiday

  1. SI entries will be executed on Day Begin of 31.03.2014 as per the usual procedure.
  2. Payment may be made as per the new rule in the SB order 05/2014 dated 24.03.2014.
Note:  In case of offices failing to follow the above said procedure(s), no support will be extended by SDC.

Tool for deleting duplicate COD



Need for deletion of COD message received will arise in various circumstances.  Duplicate COD messages in the invoicing option of COD article in Postman module is the important issue in this connection.  In some cases, the COD message will receive even after its delivery and in some other case the message will receive after it has been handled manually by sending service eMO/MO. This tool can be used as a temporary means to solve such issues.  SA password is not needed to execute the file but trusted connection is needed to complete the process.

Major Modifications in Meghdoot 7 Update 9.1

parcelnet update 9.1 to Meghdoot 7.0 


major modifications:


a) Option to re-transmit booking information of COD articles.
b) Enquiry/ Tracking option in BNPL Parcel, Despatch and Postman Modules.
c) Disaster Recovery option to deal with COD articles which are manually delivered and amount transmitted through eMO/Service MO/VPMO etc.
d) Disaster Recovery option to deal with returned COD articles for which booking data was not available.
e) Allowing booking and delivery of express parcels only by the authorised offices.

Besides the above changes in parcelnet, necessary changes have been made to the eMO applications in order to transmit the data of IFS Money Orders paid, immediately without waiting for Window submit account in postman module. Therefore, the POs cannot modify the window eMO paid amount once it is shown as paid.

SIGNATURE SCANNING PROBLEMS AND SOLUTIONS

Kindly read it before using this tool 

Intro : : 
         As you all know, latest DB analyzer shows scanned signatures with more than 25kb size as discrepancy. The solution from DMCC is to scan all these signatures again.  This is a tedious time consuming process, if the number of discrepancy is large.  

This tool useful only if such discrepancy is large in your office. Otherwise proceed manually.

Follow the below mentioned steps( 1 & 2)

1. HOW TO USE THIS TOOL

Installation

  1. Download the Sign Tool from PoTools.
  2. Try to Disable the antivirus if its is found as virus
  3. Give Correct SQL User Id and Password of Sanchay Post Server.
  4. Test Connection - to check Connectivity between Sign tool and database.

Just for Info

Select Scheme and Press View A/Cs with Size > 25KB.
Sign text file will created- its contains accounts details and size of the images.
Click Export as BMP to a folder to export the bmp file size having more than 25kb.

Note : It may hangs when large number of discrepancies available.

2. PROCEDURE TO COMPRESS THE BMP IMAGES 

Download and Install Irfan View Software for image compression.
Open Irfan View and Press (B) / File > Batch Conversion option.

Click on Right Side and Select All the images to be compressed.
Follow the 6 steps to compress the Image size.
1. Select Batch Conversion.
2. Select Output format as BMP - Windows Bitmap.
3. Tick Use advanced option.
4. Click on Advanced button to configure the Output image. as per below Image.

5. Select Output Path/folder name for compressed images.
6. Click Add all button to all images from Selected image folder.

Now Click Start Batch to Compress the Image Size as below 25kb.

we can upload the Compressed images using Sanchay Post Module Super > Common > Signature Scanning
1. Enter Compressed image path Name.
2. Click On Verify Button.
3. Select On Store Scanned image option then press Enter to store the images.

Pre-requisite / procedure of raising a Ticket under HDMS

1.  The Help Desk Management System (HDMS) application is hosted at the CEPT website i.e. http://cept.gov.in  under the ‘Support’ Menu. The Home Page  of  CEPT  website  is  depicted  below.  As  appearing  only  registered  users  has  access  to  the  CEPT  website.  Registered  users  may  login  using their credentials (User name & Password). Others need to first register using the  ‘Signup’  link on this Home Page  highlighted by yellow arrow in the figure below. All Departmental Personnel may be registered as a user of CEPT website. The Signup process is detailed below

Signup Process:

i.  Click on the ‘Signup’ button on the Home Page of the CEPT website http://cept.gov.in. After clicking on ‘Signup’ button following screen appears asking for acceptance of Terms & Conditions. Identify the check box and ‘I Agree’ button.
ii.  Select the Check Box depicted above and Click on the ‘I Agree’ button. The following screen appears asking to fill in the basic details of the user. Please note that email id is to be live and unique.

iii.  Fill in the required details and then click on the ‘Register’ button.

iv.  After  clicking  on  the  ‘Register’  button,  a  dialogue  box  to  confirm  the  correctness  of  details  entered  is  popping  up.  Please  confirm correctness  by  clicking  ‘Ok’  or  otherwise  ‘Cancel’  &  re-enter  the  data  correctly.  Please note that correctness of details is of utmost important. Any registration with junk data shall not be accepted.
v.  After clicking on the ‘OK’ button,  following screen appears containing the ‘Registration ID’.  Please note down this registration ID immediately for future reference. Then Click on the ‘Print’ button.
vi.  The following screen appears after clicking on the ‘Print’ button containing the ‘Registration Form for Membership of CEPT Website’. Please export this registration form as a PDF file using ‘ExportToPdf’ button on top and ‘Save’ it in computer.
vii.  The  said  registration  form  will  appear  as  depicted  in  the  figure  below.  Please  print  it,  get  it  certified  by  the  Divisional  Head  / Controlling Authority and then forward it to CEPT as per instructions contained at the bottom of the registration form.

viii.  Please  note  that  user  name  for  login  to  CEPT  Website  is  the  email  id  entered  at  the  time  of  registration  during  signup  process. However user will get the password to login to CEPT website by email in the registered email id onlyafter activation of the account by CEPT which shall be done only after receipt of duly authenticated registration form at CEPT either thorough email (scanned copy) over support@ceptmysore.net or in mail (hard copy) of by fax. In case due to any reason the Registration Form cannot be printed then please mail the ‘Registration ID’ to  Support@ceptmysore.net  with case details and in case the registration id also could not be noted down then please write to support@ceptmysore.net with your email id, name, dob, designation & office with case details.

Error in PA/SA On-line application website

Error in PA/SA Online application website (Important for ePayment offices)



There is an issue in connection with PA/SA Online Application website.  While printing the Chellans, same barcodes are printing in the different Chellans with different registration number.  That is, the Registration number and barcode number are different in some Chellans. In this case the amount credited will not goes to the correct candidate’s registration number.  The amount will reflect against the same registration number in the epayment website. Number of offices has reported the same discrepancy. Following are the solutions

Solution


1. While doing ePayment transaction, the counter PA should check whether the Registration No and the barcode number printed in the chellan are same. (Check the first 12 digits from barcode)

2. If the numbers are different, type the registration number manually in the epayment transaction screen and complete the transaction or suggest the candidate to make another registration.

 ( April 14 -  Monday - Ambedkar's Birthday ) 


  • Enter the Date & Description of declared holiday and press "Tab" key in the keyboard then Click on the "Save" button
  • To exit, click on Exit option in the main menu.

Follow the same procedure for configuring Closed holiday declared on the date of parliament elections (  It may vary State to Sate) ....   After receiving of our Deptl. order

Despatch 7.9 Issues with closing of Bag and Solution


while close bag in despatch module it shows an error message as Run-time error '75'. the specified path/file name cannot be accessed or is invalid.

Solution:

Follow the steps below to place your computer in “clean boot” 

  1. Click the Start orb on your Desktop
  2. Type msconfig in the Start Search box, and then press ENTER.

If you are prompted for an administrator password or for a confirmation, type the password, or click Continue. 

  1. On the General tab, click Selective Startup.
  2. Under Selective Startup, click to clear the Load Startup Items check box. 
  3. Click the Services tab, click to select the Hide All Microsoft Services check box, and then click Disable All. 
  4. Click OK. 


When you are prompted, click Restart.

R Net Communication Revised Version 4.0 Released by CEPT

After update the latest patches for COD Issues like Postman, Ecounter database Updation, Despatch String / Binary data truncated issues, R Net Communication shows some error.
 

Issues Listed below:

1) Error converting data type varchar to int
2) Object reference not set to an instance of an object
3) The process cannot access the file because it is being used by another process
4) String or binary data would be truncated.

Solution

  1. All those issues has been taken up to CEPT Mysore.
  2. They Provide Revised R Net Communication v4.0 for Post Offce.

Ammyy admin Remote Control is now blocked by SIFY Network. 

How its work

  1. It is a free version
  2. After Execute Ammyy Admin, it takes few minutes to connect with server.
  3. On Successful connection, Green Indicator goes third point and Status bar shows Connected .. Successfully.

R Net Communication 4.0 Unzipping Issues and Solution


Issues

While Execute R Net Communication 4.0 it shows an error message as

1) "Error converting data type varchar to int",
2)"object reference not set to an instance of an object",

3) "The process cannot access the file because it is being used by another process"  

Solution

  1. Inside DATA folder of RXD please remove this file   S00000000000P67358100000301113103846SSS01104.gsq (example)
  2. Execute Rnet communication.

the above file mentioned is just for example. that file may be corrupted / contains invalid characters.

Try to find out corrupted file / otherwise take up this issue with CEPT through HDMS and attach R Net Communication Folder.

PA/SA Exam 2014: Paid the fees, but payment status not updated even after 04-05 days. What to do?

Friends.. this for the help of those candidates:

  1. Who have applied for PA/SA Exam 2014.
  2. Paid the fees in a ePayment Post Offices.
  3. But payment status not updated yet even after 04-05 days and hence cannot print the registration slip.

As per the information available in pasadrexam2014.in website, those candidates whose payment status not updated even after paying the fees 04-05 days before has to do the following.

Instruction

1. Send a mail to feehelpdesk.dopexam@gmail.com along with scanned copies of following:
a. Print Challan (Candidate's copy) for fee payment.
b. Receipt issued by Post Office.
c. Also mention PIN CODE of Post Office where you have paid the FEE.

R Net Communication 4.0 String / Binary Issues and Solution

Solution for R Net Communication 4.0 String / Binary 

After COD we have faced many Issues in Postman , Despatch, Treasury and Sub accounts. Now days in many Sub offices are dealing CODs without any Issues.

In Some offices while running R Net Communication it shows an error message as String or binary data would be truncated. The Statement has been terminated.


It may problem with COD Article Message data. Some times articles were booked without Prescribed format in Addressee Name / Addressee address.  Those Messages are received at in Delivery Office by R Net Communication RXD Folder.

But R Net Communication was not able to Unzip/Unload the Received data due to Incorrect format/Syntax.
So not able to upload and It shows an error message as String or binary data would be truncated.

Solution

  1. Excessive length of address field or name field beyond the prescribed database limit. 
  2. Temperory fix can be opening the gsq files in Rxd data folder.
  3. Open them with notepad to find the offending file. 
  4. cut and keep the file safe and run the rnet again and check data folder is empty.

Licence of RD Customer Package Agent Report


The developer of the Agent Report software has released new executable fie with extended licence.  The licence of Agent Report software can be renewed by replacing the existing exe file with new file.   

Installation Steps

1.       Download the zip file AgentReport_14032014.zip from the following download link and unzip the same

2.       Copy the AgentReport.exe to the installation path of RD Customer Package by replacing the old file.  The default location will be C:\Program Files\RD Customer Package
